Terms & Conditions

  1. Acceptance

By accepting a booking confirmation and settling the required advance payment, you confirm that you have read, understood, and agreed to these Terms and Conditions.

If you receive a booking confirmation from us and do not object in writing within a reasonable period, not exceeding forty-eight (48) hours, the booking shall be deemed accepted and confirmed.

If you make a booking on behalf of another person, or use another person’s credit card details for payment, you represent and warrant that you are duly authorized to do so and to legally bind such person(s) to these Terms and Conditions. Our Booking Team may contact you to request your signature and mandatory details for a Credit Card Authorization Form.

References to “you”, “your”, “guest”, or “passenger” include the person making the booking and all individuals covered under the booking.

Grand Pioneers Cruise reserves the right to amend these Terms and Conditions from time to time by publishing updated versions on its official website. Only the version available on our website at the time of cruising shall be valid. Any amendments shall not materially affect essential provisions such as payment or termination terms. Changes will be communicated in advance and, unless expressly rejected in writing, shall be deemed accepted.

  1. Rates

All prices are quoted in Vietnamese Dong (VND) and may vary depending on the applicable exchange rate. Cruise rates are generally quoted per cabin, not per person, unless otherwise expressly stated under specific promotional offers and conditions.

Rates are dynamic and subject to cruise demand, seasonal variations, and the calendar year, based on the embarkation date.

Surcharges may apply during public holidays, festive periods, or peak seasons for all guests aged eleven (11) years and above. Such surcharges may not be included in the initially quoted rate and will be communicated separately for acknowledgement and payment.

  1. Sightseeing and Entrance Fees

Grand Pioneers Cruise is responsible for arranging and paying port entrance and sightseeing fees on behalf of passengers.

If local authorities or port management increase such fees, Grand Pioneers Cruise reserves the right to impose a mandatory surcharge, including for bookings confirmed prior to such increases. Guests will be notified accordingly.

  1. Advanced Registration

In accordance with Port Authority regulations, all passengers, including children, must provide full and accurate passport details no later than twenty-four (24) hours prior to arrival.

Any updates submitted after 10:30 AM (local time) on the cruise check-in date will incur a penalty of VND 2,500,000 per booking due to mandatory resubmission requirements imposed by the authorities.

Check-in time is from 11:00 AM to 12:00 PM. Late arrivals after check-in hours may incur additional charges for speedboat or tender services required to reach the main vessel.

  1. Deposit and Advance Payment

FIT bookings (fewer than ten (10) cabins): Full payment is required at the time of booking.

GIT bookings (ten (10) cabins or more): A deposit is required upon confirmation, with the remaining balance payable prior to arrival.

Payments may be made via bank transfer, credit card, or cash. Any bank charges or card processing fees, if applicable, shall be borne by the guest or agent.

  1. Rate Specifics and Guest Policy

Adult Rate

The adult rate applies to guests aged eleven (11) years and above. Guests turning eleven (11) during the cruise will be charged the adult rate.

Third Adult

A surcharge of up to forty-five percent (45%) of the cabin rate applies, except for Ocean Suite Triple cabins, and must be confirmed in advance.

Children Policy (0–10 years)

A maximum of two (2) children per cabin is permitted, except for Ocean Suite Triple cabins.

Children aged 0–4 years: One child may stay complimentary when sharing existing bedding; additional children will incur a surcharge according to cruise policy which might not be collected at the time of booking but upon your arrival at our check-in lounge. Our specialist will reach out to you regarding this matter if arises.

Children aged 5–10 years: Child rates apply.

Extra beds are available upon request, subject to availability and additional charges.

  1. Cancellation and Amendments

Cancellation and amendment policies vary depending on the rate type. Guests are advised to carefully review the applicable terms prior to booking and payment.

All conditions will be detailed on the booking voucher issued by our system or customer service team. For health-related cases, a valid medical certificate is required for consideration of modification requests.

No-shows are fully chargeable and non-refundable under all circumstances.

  1. Change of Cabin Category

Grand Pioneers Cruise reserves the right to allocate or change cabin assignments when necessary, among our fleets in our group cruises, provided that alternative accommodation offered is of an equivalent category and standard to that originally booked.

  1. Cruise Particulars

The following provisions apply to all bookings, whether made directly or through third-party agents:

(a) Deck Plans and Marketing Materials: All deck plans, cabin sizes, layouts, images, and inclusions are indicative only and subject to change. Grand Pioneers Cruise is not responsible for inaccuracies published by third parties.

(b) Cabins: Pricing is based on the selected cabin category.

(c) Photography: Scenic views and advertised highlights cannot be guaranteed. No refunds or compensation shall be provided for missed photographic opportunities.

(d) Noise, Vibration, and Odours: Guests acknowledge that certain levels of operational noise, vibration, or odours may occur and accept no liability claims in this regard.

(e) Docking Positions: Side-by-side docking or tender transfers may occur. No claims shall arise from such arrangements.

(f) Medical Services: No onboard doctor is available. External medical services will be arranged at the guest’s expense.

(g) Shipboard Accounts: Payments on board may be made by credit card, United States Dollars (USD), or local currency.

(h) Internet Services: Internet availability and quality are not guaranteed and may vary due to technical or environmental factors.

  1. Promotional and Package Rates

Bookings made under promotional or package rates are strictly non-refundable and non-amendable. Failure to arrive will be treated as a no-show, and no refund will be issued.

  1. Final Payment

All payments must be settled prior to the check-in date. FIT bookings require full payment at the time of booking, while GIT bookings must be paid in full before arrival date.

Failure to comply may result in cancellation of the booking and applicable charges. Payments may be made by cash, credit card, or bank transfer. The client or agent shall bear all related bank or card fees.

  1. Refund of Unused Services

No refunds or exchanges shall be provided for any unused accommodation, meals, sightseeing fees, transportation, or other included services.

  1. Vouchers and Confirmations

Booking confirmations and service vouchers will be sent upon receipt of full and valid payment and will be sent to guests via email.

  1. Liability and Insurance

Grand Pioneers Cruise accepts no responsibility for any loss, injury, damage, or delay due to natural disasters, political actions, weather, or causes beyond its control. Travel insurance and medical precautions are essential. Your travel insurance must provide coverage against personal accidents, medical expenses, emergency repatriation, and personal liability. We strongly recommend that you purchase travel insurance before any trips.

  1. Ha Long Bay and Bai Tu Long Bay – Bad Weather Policy

Due to ad-hoc weather changes in North Vietnam that may occur in certain seasons of the year, authorities may not allow cruise operations on last-minute notice due to national safety regulations.

In the case of adverse weather conditions that prevent the ships or cruises from being given the order to depart Grand Pioneers will issue a refund to you, after deducting any incurred costs, such as transportation services, meals, day tour tickets, and other related expenses.

Applicable cabin charges in the event of shortened itineraries (including child and extra adult charges):

2D1N shortened to day tour: 45% charged

3D2N shortened to day tour: 25% charged

3D2N shortened to 2D1N plus day tour: 75% charged

3D2N shortened to 2D1N only: 55% charged

Other services, such as transportation or hotel accommodation, will be charged based on actual usage.

If the cruise is still authorized to depart and travelers choose to cancel the booking or service, Grand Pioneers will not be able to refund the costs that have already been paid, as per the terms of original booking.

  1. Complaints

In the unlikely event that you do have a problem during your trip, please inform the cruise management immediately, who will endeavor to put things right. If you suffer any loss or damage to your luggage, please inform us immediately. If your complaint is not resolved locally and you wish to complain further, please send formal written notice of your complaint to us within 03 days of the end of your trip (giving your booking reference and all other relevant information). Failure to do so will affect our ability to investigate your complaint and could affect your rights under these conditions.

  1. Force Majeure

Except where otherwise expressly stated in these conditions, Grand Pioneers will not be liable or pay compensation if our contractual obligations are affected by any event which we or the supplier(s) of the service(s) in question could not, even with all due care, foresee or avoid. These events can include but are not limited to, war, terrorism, threat of war, civil strife, fire, flood, or any other extreme weather conditions, and its consequences or the threat of such activity, riot, labor difficulties, the act of any government or other national or local authority including port or river authorities, industrial dispute, lock closure, natural or nuclear disaster, chemical or biological disaster, adverse weather, sea, air, ice and river conditions, loss of power, epidemics or pandemics, inability to obtain any necessary license or consent and delays caused by sub-contractors and all similar events beyond our or the supplier(s) concerned control.

In case of a Force Majeure which makes it impossible or prevents fulfilling the booking contract at the time of travel or within a reasonable period before the travel date, the booking contract may be terminated by either party. Such an event also requires the existence of official announcements by national or international authorities (for example the issuing of travel warnings, declarations of risk, or [partial] state of emergency) at the time of travel, within a reasonable timeline before the travel date or ceases to exist.

Please note that you will not be entitled to a cash refund. Travel agents or resellers who book on behalf of a guest and have not paid us cancellation charges if any, when terminating a booking contract due to Force Majeure, will not be offered a refund in the form of a future credit unless open charges have been balanced in return.

  1. Animals

Animals, pets, and livestock are strictly prohibited on board all vessels.

  1. Jurisdiction and Applicable Law

Any rights and obligations relating to your booking and journey and any contract agreement or confirmation to which they apply are governed by the local law where the vessel is registered. Any dispute, claim, or other matter which arises out of or in connection with any agreement or your booking will be dealt with by the courts of the company in the flag state only.

Guests must comply with all applicable Vietnamese laws, maritime regulations, and port authority rules during the cruise.
